Simplifying Data Migration with Everlaw
by Damini Marwaha
The amount of data that organizations produce is staggering and continues to grow exponentially. And legacy platforms can’t handle the weight.
With legacy ediscovery systems lagging behind, or being abandoned altogether, transitioning to a cloud-native ediscovery platform can significantly enhance efficiency, reduce costs, and minimize risks.
Not all modern ediscovery solutions are built alike, however. Finding the right platform means choosing technology that evolves with your needs, not against them. And it means embracing tools that were built for the cloud from day one – not grafted on long after cloud-based ediscovery was an inevitability.
Everlaw is the tool of choice for those ready to move beyond the status quo, offering advanced capabilities with an intuitive experience that legal professionals actually enjoy using.
Everlaw’s rapid innovation and close partnership with customers make transitioning from legacy platforms easier than ever before.
What Is Data Migration?
Data migration is the method of moving data from one location, format, or application to another. This typically involves data profiling, cleansing, validation, and an ongoing quality-assurance process. Organizations also initiate data transfers when they move from an on-premise infrastructure to cloud-based storage.
It's important to differentiate data migration from data conversion and data integration:
Data conversion changes data formats to accommodate new systems, essential when moving data from legacy applications.
Data integration combines data from various sources into a unified view, crucial for analytics.
When migrating from one discovery platform to another, any or all three of the above may be necessary, depending on your approach.
Approaches to Data Migration in Ediscovery
Organizations often take one of three common approaches when transitioning between platforms, depending on their internal workflows, policies, and the needs of their matters:
Full migrations of all data and work product: Though rare, some organizations may transition all of their litigation and investigations data, along with existing work product, from their prior platform to their new solution.
Partial migrations of key data and work product: More commonly, organizations may move just a subset of data and work product from past systems into their new solutions. For example, a legal team may transition data from cases that are still active or have a particularly long lifespan. On average, of customers who migrate data from legacy platforms, Everlaw finds that less than 25% of all data actually needs to be migrated.
Migration of new matters only: Alternatively, a team may decide to maintain past projects in their legacy systems, while beginning all new matters in their new platform. The “migration” here is not in data transfer, but in evolving processes and workflows for the new ediscovery solution.
How Everlaw Handles Data Migration
While data migration involves moving electronic files from one location to another, the migration method is critical in terms of efficiency, accuracy, and security of the data. Everlaw has a two-step process to migrate data, reducing the time required to get data live on the platform and ready to review.
The first step involves consulting with Everlaw’s highly skilled Data Operations experts to determine specific data needs and challenges. The following topics are covered during the complimentary consultation:
Originating platform, formats, and data structures available for export
Types of data to be migrated
The volume of data needed to be migrated
Everlaw will also request a data sample to reveal any potential roadblocks with the migration.
During the second meeting, Everlaw will address any problems with the sample data, ask additional questions, and provide a time estimate for the migration. We generally provide migrations at no extra cost to customers; however, an additional charge might apply if the data is non-conformant. Customers are always informed about the estimated time and must approve any costs before any additional work is performed.
Everlaw performs three types of data migrations, including:
Native and processed data uploads, including production datasets with load files.
Bespoke platform data migrations, or the migration of data from other platforms like Relativity, DISCO, Logikcull, and Summation. Our objective is always to create a custom workflow for the most seamless transfer onto Everlaw.
Physical media support for the intake of client media containing native, processed, or both data types. Everlaw ensures that each media shipment is accurately and securely logged, tracked, and destroyed as requested.
