[OPTIONAL] Assign Other Bates and order your results table
If you want to use Other Bates as a stable document ID, sort the results table first and then assign Other Bates to the documents in that set.
Open a results table of the documents you plan to number.
Sort the table in the order you want the documents to appear.
Assign Other Bates with enough padding to keep the numbering format consistent.
In the production protocol, choose “Use metadata Other Bates for numbering” if you want the produced documents to use those values.
Prepare the Schedule A fields
Prepare the fields that will populate Schedule A. Create custom metadata fields when the information you need is not already available in existing metadata, or when you need more control over how values appear in the final table.
Review the columns you need to include in Schedule A.
Identify which columns can be populated with existing metadata.
Use metadata aliases to consolidate existing metadata fields under a custom field name for your Schedule A columns when multiple fields may contain the right value.
Create custom metadata fields where needed.
Populate and review those fields before exporting the table.
Gather the documents for Schedule A and Schedule B
Identify the documents for Schedule A and Schedule B before you number, produce, or export your tables.
Use binders, codes, or saved searches to identify the relevant, non-privileged documents for Schedule A.
Identify the privileged documents for Schedule B separately.
Confirm each set only includes the documents you want in the final tables.
Create the Schedule A production
Produce the relevant, non-privileged documents for Schedule A and include the metadata you need for the export.
Use the document set you identified for Schedule A.
Exclude privileged or Schedule B documents from this production.
On the load file metadata step, include the fields you want in the Schedule A CSV.
If you are producing PDFs only, select “Do not produce text files.”
For natives, it is usually best to keep “Include natives for all documents without images.
Export and format the Schedule A table
After production completes, export a CSV from the produced documents and format the final Schedule A table offline.
Export from the produced documents, not the original source documents.
Include the fields you populated for description, date, and any other required values.
Download the CSV from Batches & Exports.
Format the table offline to match the requirements of your Affidavit of Documents
Export and format the Schedule B table
Build Schedule B separately for privileged documents using either produced Bates numbers or Control # values, depending on what your matter requires.
Start with the privileged document set you identified earlier.
If you want Schedule B to use Bates numbers, produce those documents and use that produced Bates range.
If you do not need a separate Bates range, use the Begin Bates/Control # column from a CSV export.
Format the Schedule B table offline to match your required privilege-log format.
